The Coworks Xero Accounting Integration allows you to automatically sync your customers, invoices, and payments between Coworks and Xero β€” just like our existing QuickBooks Online (QBO) integration.


Summary

The Xero Accounting Integration is a full feature-for-feature match with our QBO integration β€” now extending powerful automation to Xero users.

It enables Community Managers to:

  • Sync customers, invoices, and payments directly to Xero

  • Map campuses, plans, and fees

  • Automatically push overage and booking charges

  • Keep Coworks and Xero data aligned in real time


Problem

Just like QuickBooks users, many Coworks managers rely on Xero for their financial management and accounting.

Until now, integrating Coworks with Xero required manual exports, data entry, and reconciliation β€” leading to extra work and potential errors.

The new integration solves this by providing a direct connection between Coworks and Xero, automating invoice and payment synchronization across both platforms.


Key Features

  • Connect Xero to Coworks using a standard OAuth flow, identical to the QBO setup.

  • Enable Xero syncing under Community Settings > Accounting Integrations.

🧾 Invoice Syncing

When an invoice is created in Coworks, the integration:

  • Finds or creates the corresponding customer in Xero using their email address

  • Pushes the invoice to Xero with all line items and discounts

  • Marks the invoice as closed in Xero when it’s closed in Coworks

Payments and refunds are automatically reflected in Xero:

  • When an invoice is paid in Coworks β†’ a payment record is created in Xero

  • When an invoice is refunded β†’ a refund entry is created in Xero

How It Works

  1. Connect Xero
    Go to Admin > Settings > Integrations > Xero and connect your Xero account using OAuth.

  2. Configure Mapping
    Choose how your Coworks items, campuses, and accounts align with Xero products or categories.

  3. Sync Automatically

    • Invoices automatically push to Xero when created in Coworks

    • Payments and refunds sync automatically

    • Invoice status stays consistent across both systems

  4. Monitor Syncs
    View sync logs and troubleshoot any failed pushes directly in the Coworks admin panel.
