Customize your occupancy stats to measure your space occupancy by square ft, number of seats, or individual occupied units

The Occupancy feature in Coworks allows you to manage your inventory of assets (offices, desks etc.) to quickly understand what is available, which teams occupy which spaces, and glean quick stats and information on space occupancy.

The golden metric for the occupancy feature is the occupancy percentage stat. This lets you know to what percentage is your space full (with the goal of being at 100% occupancy!).

Custom Calculations Explained

For Suites, you can customize the way that this stat is calculated and choose between 3 different calculation methods. Those are:

Units (default): This will calculate the occupancy percentage using a simple calculation of occupied units/ total units. The units are each individual suite object in your list. So for example if you have 10 suites, 5 of which are designated as 'occupied', your occupancy percentage will be 50% (5/10). This is the default method of calculating the occupancy percentage.

Capacity: This will calculate your occupancy percentage based on the total capacity (or "seats") of each occupied suite. Say for example if you have 6 suites. 5 of those suites are small 1-person offices. The 6th suite is a large 20-person office. Your total occupancy based on seats available is 25 (five 1-person offices, plus one 20-person office) Filling the large 20-person office would result in an occupancy calculation of 80% (20/25). This method is more representative of the physical space filled vs units available. In this same scenario, calculating by units would yield an occupancy of 16.67% (1/6 suites occupied).

Square Footage: Similar to capacity, this will calculate your occupancy percentage based on the total square footage of each occupied suite. Say for example you have 3 suites. 2 of the suites are 200 sq ft. The other is a large 1200 sq ft. space. Your total occupancy based on sq ft is 1600 sq ft. (200+200+1200). Filling the large 1200 sq ft. space would result in an occupancy percentage of 75% (1200/1600). This method is also more representative of the physical space filled vs units available. In this same scenario, calculating by units would yield an occupancy of 33.33% (1/3 suites occupied).

Changing the calculation percentage

  1. To change the calculation percentage from the default (units), click the "edit" button located in the occupancy stat card.

  2. Click the drop-down under "Calculate Occupancy By" to change to your preferred method. Note the icons associated with each option.
    ​

  3. The calculation will update to reflect your most recent selection. The icon will also be shown next to the calculation percentage so that you are always aware of how the number is being calculated at a glance. The default calculation for the page is by units.
