How to add rooms, equipment, suites, and desks via a CSV or spreadsheet upload during the onboarding/migration phase using the room uploader

Please note - There are 2 templates available depending on the "Type" of rooms you'd like to import into Coworks:


Rooms/Spaces/Hot Desks/Equipment

Download our Custom Template HERE. Please format your Rooms using these exact columns.

Note: It is important that you don't change the column name or order, but only arrange your list of rooms using this template.

Helpful Tips to ensure a successful upload into the Coworks Software using the Template:

  • name is required

  • room_permissions allows you to automatically make the room require Room Permissions, as well as assign the room permission to the room. The Room Permissions will already need to exist in your space in order for the upload to work.

  • Permissions do not apply to "Spaces"

  • Descriptions are publicly viewable in the Member Apps and External Bookings to better describe your rooms to Members.


Suites/Desks

Helpful Tips to ensure a successful upload into the Coworks Software using the Templates:

Required Columns:

  • name: the name of the suite/desk (eg. Suite 102)

  • capacity: the size of the suite/desk in terms of how many people it can fit

  • size: the size of in square feet

Helpful Info:

  • contract_url can be used to link to a signed document or lease

  • team_name allows you to select an existing Team Name in your space and assign that team to the Suite/Desk. The Team Name must match exactly and already exist in your space. This will also automatically mark that suite/desk as "Occupied" and reflect this in your Occupancy stats.

  • plan_name allows you to assign Plans to the Suite/Desk. Plans must already exist in the campus, and their names must match exactly.


How to get started with imports in your Manager Dashboard

  • Navigate and login to your Manager Dashboard

  • Click on the Community tab in the left-hand navigation

  • Select Migrations

  • Drag and drop your CSV, or click the gray area and select the file to upload from a location on your computer.

Here you can choose which type of bookable resource you would like to upload. You can choose from conference rooms, spaces, hot desks, equipment, suites, or dedicated desks.

Please be sure to use the appropriate template above depending on the type of Rooms you'd like to import.

  • Once selected, click Import

  • You will be automatically redirected to the appropriate tab in your Directory, where your newly uploaded rooms will be listed.

Tip: Be sure to add good photos for greater attention and potential bookings! Actual room images help a great deal here so your members know exactly what they're booking.
