How to download and use the Bookings Report to track usage of the rooms and equipment in your space.

About the Bookings Report

The Bookings report shows all of the bookings in your space chronologically for a given timeframe. This is helpful for tracking the usage of your space, and seeing which members are booking what rooms and equipment on campus.

You can choose to filter the report by team, or to include Events in the report, which can be useful for seeing how many people attended to the Events in your space in a particular timeframe.

How to access the Bookings Report

  1. Go to the Reports tab in the admin dashboard.

  2. Scroll down to the "Calendar" section, find the Bookings report, and click the "Download" button.


  3. Choose if you'd like to view the bookings for all teams or a specific team, if you'd like to include events, external bookings, or cancelled bookings, and select the date range.


  4. Click the "Request" button, and the report will be sent to your email address.

Breakdown of the Bookings Report

The Bookings Report includes a range of data relevant to each booking and event in your space. Below is a breakdown of some of the most important columns related to your bookings.

  • created_at: The date and time that the booking was created and added to Coworks.

  • type: This will show whether this entry is a Booking, an event, or an External Booking.

  • start_time: The date and time that the booking was scheduled to start.

  • end_time: The date and time that the booking was scheduled to end.

  • duration: The total length of the booking.

  • room_name: The room in your campus where the booking took place.

  • booked_by: Who created the booking.

  • invoice_id: If you chose to include External Bookings in the report, then the invoice ID associated with the booking will be listed in this column.

  • invoice_amount: If you chose to include External Bookings in the report, the amount of the invoice will be included in this column, which can be used to calculate revenue from External Bookings.

Events Data in the Bookings Report

If you choose to include Events in the bookings report, you can also view important data related to those events. Here's a breakdown of some of the most important columns specific to your events:

  • location: Where the event took place, if it wasn't hosted in one of your rooms or spaces on campus.

  • attendee_count: How many people RSVP'ed to the event.

  • external_registration_url: If a link to an external registration page was added to the event, that will be listed in this column.

  • attendee_max: The maximum number of people who could RSVP to the event.

  • attendee_join_deadline: The cutoff date for people to RSVP to the event.
