How Booking Overage Billing Works
Booking overage billing tracks the total hours/credits each team books monthly. If teams surpass their allotted hours/credits, the system applies a fee for each additional hour used. The overage fee can be:
Added to the team’s next recurring invoice, or
Issued as a one-off invoice specifically for the overage amount.
Note: The overage billing only applies to bookings that exceed the monthly allocation set in each team's plan.
How to Enable Auto-Charge for Booking Overages
Follow these steps to turn on the automatic overage billing feature in your Coworks Admin Dashboard:
Log in to your Coworks Admin Dashboard.
Navigate to the Community Page on your dashboard.
At the top of the page, select the Settings tab.
In the Settings menu on the left-hand side, click Billing.
Scroll to the bottom of the Billing page.
Locate the Booking Overage Billing option at the bottom of the page and turn it on to enable auto-charge for booking overages.
Once enabled, you can choose one of the following billing options for booking overages:
Add to Next Invoice: Automatically add the overage amount to the team's next recurring invoice. This will appear as a single line item on their monthly invoice on their recurring bill date and will include any overages from the previous calendar month.
One-off Invoice: Create a separate invoice for each month's accumulated overage amount. This invoice will go out on the 1st of each month and will charge for any overages accrued during the last full month. Within this option you have two choices for billing:
Charge Automatically: For one-off invoices we will create and auto charge the payment method on file.
Send Invoice: For one-off invoices we will email the invoice to be paid manually.
Click Save to confirm your settings.
