How to use the CRM

Use the Coworks CRM to capture and manage leads and contacts

You can use the Coworks CRM, found in the CRM tab in the admin dashboard, to capture, store, and manage interested leads and contacts.

Leads

Leads are non-members that either you or the Coworks system has automatically captured through the various marketing forms that we provide (you can read more on those here), that are interested in becoming a member of your space. You can mark these leads as cold/warm/hot, leave notes on the leads, and ultimately promote them to a member in your Directory when they are ready to sign up for a membership.

How to Create a New Lead

In the "Leads" section of the CRM tab, you can manually create a new lead by clicking the "New Lead" button in the top right.

Coworks will automatically capture leads and mark them as a lead if they were created by the Frontdesk Tour Form, Membership Request Form, Tour Request Form, or through Zapier. Their profiles will automatically show up in the CRM's "Leads" tab. Otherwise, they will show up in the "Contacts" tab of the CRM (read more on contacts later in this article).

Lead Search, Filter, and Sorting

You can filter your leads by campus, temperature (cold, warm, or hot), how the lead was created, or whether the lead is active or inactive. If you are looking for a specific lead, you can enter their name or email in the search bar to search the CRM for their profile.

You can also sort your leads quickly by name, email address, how they were created, or when they were marked as a lead using the "Sort By" dropdown or clicking the column headers.

Follow-up Reminders

You can schedule follow-up reminders for yourself, to send you automated email and dashboard notifications when it's time to follow up with your interested leads. You can learn more about how to use the follow-up reminder feature in this guide.

How to Promote a Lead to a Member

To promote a lead to a member in the Directory, click the "Promote" button next to the name of the lead that you would like to promote.

By clicking on the dropdown menu next to the "Promote" button, you can also promote the lead into an existing team or edit their profile.

Contacts

Contacts are guests or people that have come in contact with your space, one way or another. Coworks automatically captures contacts when guest check-ins are made or guest invoices are sent. This is your catch-all contact solution. You can also convert your contacts to leads with one click when you're ready to mark them as a lead.

How to Create a New Contact

In the "Contacts" section of the CRM tab, you can manually create a new contact by clicking the "New Contact" button in the top right.

Coworks will automatically capture contacts if they were created through an Invoice or Visitor Check-in.

How to Convert a Contact to a Lead

To promote a contact to a lead, click on the dropdown menu next to the name of the contact that you would like to promote. By clicking on the dropdown menu, you can mark that contact as a lead, promote the contact to a new member, promote them to an existing team, or edit their profile.
