How to Use the Dedicated Desks Feature

How to manage an inventory of desks for your members to rent as dedicated workspaces for a monthly recurring fee

What are Dedicated Desks?

Dedicated Desks is a feature we've created to allow you to manage an inventory of dedicated, rentable desks/workstations in your space. These function similarly to a private office, where teams/members pay rent for a private and dedicated space.

This is important because it opens up another revenue stream for you to monetize your space on a recurring basis.

Here's how it works:

Head over to the Occupancy tab and choose "Desks" to see a list of your dedicated desks.

By default we show you all of the vacant (or unoccupied/unassigned) desks at the top of the list, as those are the ones you need to take action on (to sell).

Occupancy Stats

We also immediately show you some import stats for you to track related to your occupancy:

Occupancy Percentage: The percentage of currently filled or occupied desks in your community. 75% Occupancy would mean your space is 75% full with tenants. Your goal should be to see 100% at all times!


​Estimated MRR: The estimated amount of monthly recurring revenue that you should anticipate from your currently occupied desks. We generate this number by calculating the totals from the attached price plans on each desks. This does not include discounts, add-ons, etc., so this is just a high-level estimate.

Estimated Potential MRR: The estimated amount of monthly recurring revenue that you are currently missing out on from your vacant desks. This is essentially the anticipated revenue left on the table from desks you have yet to fill. You want this to be $0!

Import/Setup

Use our desk import tool If you'd like to import a set of desks from a spreadsheet or CSV. Otherwise, you can create each desk manually.

Creating Your Desks

To create a desk, click "New Desk" in the top right of the Occupancy tab. Each desk should have a unique name (usually corresponding to an address or area in your space, ie: Desk 101A).

The other important piece of creating a desk is assigning plans and teams

Assigning A Desk Plan

Assigning a plan is critical to understanding the market value of that desk so we can generate revenue metrics and sorting capabilities. To assign a plan, you must first go to the Plans tab in the sidebar and create a plan of type "Dedicated Desk."

Once you have created your desk plans, you can assign them to all of your dedicated desks. Be sure to create new plans if you have different desk prices (ie: Premium Desk, Basic Desk, etc.).

Assigning A Team

Adding a team to a desk will automatically change that desk from "Vacant" to "Occupied" after saving. This will auto-recalculate your occupancy percentage and MRR. You can remove a team at any point by clicking "Edit" on the desk.

Sorting and Filtering

The occupancy feature comes built with a powerful set of sorting and filtering options to make it easier for you manage your inventory.

You can easily sort/order your list by name, capacity, size, and vacant/occupied to bring the most important desks to the top.

Additionally, you can filter by price, minimum capacity, or availability (vacant or occupied) so that you only see the desks that matter most to you in the list.
