How to edit your Campus settings

Where to change your campus settings related to bookings, hours of operation, door access, transactional emails, and more.

Campus Settings

In Coworks, you can use your campus settings to manage the different aspects of each of your specific locations. Campus settings are used to control the hours of operation for the space, in addition to the campus timezone, and any restrictions you'd like to place on member or non-member bookings.

Where to edit your campus settings

To view or edit the settings for your campus, click on the Settings gear icon near the top right of the admin dashboard.

Campus Settings Sections

Profile

Click on the "Profile" tab near the top to view and edit the basic profile information for your campus. You can include the campus name, description, and address, as well as stats about the size of the space. Feel free to check out this Help Center article for more information.

Calendar

Under the "Settings" tab at the top, you can click the "Calendar" option on the left to view and adjust settings related to bookings and events in your space.

  • Padding time (in minutes): This adds a block of padding time after each booking, so that you have time to clean or reset the space before the next booking takes place. This Help Center article has more information on how to use padding time in Coworks.

  • Minimum time in advance (in minutes): This prevents members and guests from creating bookings without giving adequate advance notice. For example, if you have a minimum time in advance of 15 minutes, and someone tries to create a booking for 5 minutes from now, that booking won't be able to be created, because the booking wasn't created at least 15 minutes in advance. You can read more about the minimum time in advance feature here.

  • Maximum time in advance (in days): This allows you to prevent your space from being booked too far in the future. For example, a value of 14 would mean no bookings could be made more than 2 weeks in advance. Feel free to check out this Help Center article for more information.

  • Daily member booking limit in minutes: This prevents members from exceeding a certain total booking duration in a single day. For example, if you don't want members to book more than 5 hours in a day, you could set this limit to 300 minutes. This Help Center article has more information on how to utilize daily member booking limits.

  • Share events created in [campus name] with all campuses by default: If this is turned on, by default, any events you create in this campus will be shared to all campuses. You can change this on a per-event basis while creating the event.

  • Show Capacity Status Banner in Mobile: If this is turned on, the Booking tab of the member mobile app will display a banner at the top, showing how full or busy the campus is. You can learn more about the capacity status banner in mobile here.

  • Blackout Dates: You can set blackout dates to prevent the purchase of Day Passes or External Bookings on those days. Please note that this will not block member bookings. Feel free to check out this Help Center article for more information on blackout dates.

Checkins

In the "Checkins" section, you can choose if you'd like to automatically check out all members, leads, and guests who've checked in to your space if they haven't already checked out at the end of the day.

External Bookings

In the "External Bookings" section, you can edit the Hours of Operation for your campus, set the event coordinator email, and choose a minimum booking duration for your external bookings.

  • Hours of Operation: Controls what times are available for external bookings. Please note that this will not affect member bookings in the member mobile app. This Help Center article has more information on using the Hours of Operation setting.

  • Event Coordinator Email: The email address that people will be able to reply to when they RSVP to an event in your space.

  • Minimum Booking Duration in minutes: The minimum duration required for external bookings in your campus. You can read more about setting a minimum booking duration here.

Integrations

From the "Integrations" section, you can make adjustments to the settings for different applications that are integrated with your campus, such as QuickBooks Online or your door access system.

Transactional Emails

In the "Transactional Emails" section, you can customize the emails that are sent to guests when they purchase a Day Pass, create an External Booking, or RSVP to an event in your campus. You can read more about customizing transaction emails here.

Localization

Lastly, under the "Localization" section, you can edit the timezone used for your campus.
