How to create and manage promo codes or discount codes to be used on day passes, external bookings, or membership signups

This article explains how you can create and manage promo codes for discounts to be used on external forms by customers. Promo Codes can be applied to external forms such as day passes, external bookings, or public plan signups. Learn more about those forms here.

This feature can be useful for enabling sales specials, promotions, or partnerships in your commerce forms.

Discounts vs. Promo Code – Understanding the Difference

  • Discounts: A discount is created by you or your staff and can be applied internally to a new or current member's plan or invoice.

  • Promo Code: A promo code is a unique code that can be used to apply or redeem a discount for a purchase or membership. This is also created by you or your staff but is intended for non-members to apply to purchases such as external bookings, day passes, or new plans.

How to Create a Promo Code

First, head to the Promo Code tab here. Click "New Promotion Code" to create a new code.

Required Fields:

Discount: All Promo Codes must be associated with a discount. That discount defines what deal/special will be applied to an invoice when a code is redeemed. When creating a code, you can either search for an existing discount or create a new one.


​​Optional Fields:

Expires At: The date at which this promo code will no longer be redeemable on any invoices. Note: this will not expire the associated discount, just the individual code.

Max Redemptions: The maximum number of times this code can be applied to an invoice before it's no longer valid. Note: This only applies to the individual code, not the associated discount.

Custom Code: A custom text for the promo code. If not set, a code is automatically generated for you. This code must be unique.

Creating multiple promo codes on one discount

A discount can have multiple codes associated with it. This is valuable if you want to run time-based or usage-based specials for a specific discount. You could, for example, create one code that expires on a certain date, one code that has a maximum number of redemptions, and/or create new codes when previous ones expire.


To add multiple codes to a discount, go to the discounts table and click on the discount name to view the discount info.

Under the promotion codes section, click "Add Promotion Code" to generate a code for that discount.

Viewing/Disabling Promo Codes

To view existing codes, head to the Promo Code tab here.

The table shows the code name, associated discount, expiration date, redemption times, and maximum redemptions.

To instantly deactivate a discount, just click the "Deactivate" button in the promo code row.

Where can promo codes be applied?

Promo Codes can be applied to external forms such as day passes, external bookings, or public plan signups. Learn more about those forms here.

To apply the code, the user must simply add the promo code in the "Discount Code" field on the form and click "apply".

If the code is valid, the associated discount will be applied to the customer's order. The customer can also remove the code if entered incorrectly.
