How to sell Day Pass Packs using the Day Pass Feature

In this article, you learn how to add multiple day passes as a single purchase pack for non-members/guests to purchase

Below, you will find step-by-step instructions on adding a day pass bundle to the Day Pass feature and how your community managers can manually manage your Day Pass purchaser's remaining Day Passes.

About Day Pass Packs

Day pass packs allow you to extend our standard day pass purchase links by including multiple day passes that can be bundled together in a single purchase. This allows you to sell a number of day passes (at a custom price) that customers (nonmembers) can then use at their discretion. For each pack, you can set how long after the purchase date that pack of passes is good for (e.g. must be used within 6 months). For each customer, you can track their usage in the CRM and use our front desk check-in to redeem passes for customers.

Adding a Day Pass Bundle to an Existing Day Pass

  1. Go to the Coworks Admin Dashboard.

  2. On the left-hand side, click on the Community page.

  3. Navigate to the Website Forms Tab at the top of the page.

  4. Scroll down to Day Passes, find the Day Pass you want to update, and click Edit.

  5. Scroll down to the section labeled Expiration Date and How many Day Passes are Included.

  6. Enter the Expiration Date and number of Day Passes you want to allocate for this Day Pass Pack.

Adding Day Passes to a New Day Pass

  1. Go to the Coworks Admin Dashboard.

  2. On the left-hand side, click on Community Page.

  3. Navigate to the Website Forms Tab at the top of the page.

  4. Scroll down to Pay Passes and Click Add New Day Pass

  5. Fill out the required details for your new Day Pass.

  6. Scroll down to the section labeled Expiration Date and How many Day Passes are Included.

  7. Enter the Expiration Date and number of Day Passes you want to allocate for this Day Pass Pack.

Quick Tip!

Always remember to save your updates when making changes to ensure everything is recorded correctly!

Once created, your day pass checkout link will be updated to include the number of passes included and how long they're valid for.


Viewing and Managing Day Passes through your CRM

To view the day passes assigned to a contact or lead:

  1. Go to the CRM page.

  2. Select the Lead or Contact you want to view.

  3. Click on the Day Passes tab.

  4. At the top of the Overview tab, you’ll see:

    • The number of day passes Purchased.

    • The number of day passes Remaining.

    • The day pass revenue.

On this page, you can also view their day pass purchase history and their day pass usage history.


Redeeming and Issuing Day Passes to a contact or lead

Redeem via check-in

Customers can automatically redeem a day pass using the front desk check-in. Customers simply need to check in using the email they used to purchase the day passes and the system will recognize and redeem for them.

Once checked in, the system will tell them how many day passes they have remaining.

Note: We will alert managers if customers check in after using their last remaining day passes.

Manually Redeeming/Issuing

To manually redeem/issue new day passes in the dashboard, follow the steps:

  1. Staying on the Contacts/Leads Day Passes tab, select the Actions Button

  2. You will have two selections

    • Redeem Day Pass - This will allow a community manager to manually check in a contact or lead using one of their purchased day passes.

    • Issue Day Pass - This will allow a community manager to issue a day pass free of charge to a Contact or Lead if needed.
