How to enable temporary door access for Brivo users for Day Passes & External Bookings

Issue temporary access permissions to customers who book your space via Day Pass or External Bookings.

External Bookings are a great way to monetize your space by allowing non-members or guests to rent out conference rooms or hot desks. Day passes similarly allow people to work in your space and pay a fee for a day.

You can automatically generate temporary access in Brivo for these customers, so they can easily unlock and access your space upon arrival.

Setup

To use this feature, start by going to your campus settings. Click the gear in the top right of your header in the Coworks Dashboard to quickly access this setting.

Start by clicking the "Edit" button to change your campus settings.

Under "Integrations," you'll see options to enable temporary access for External Bookings or Day Passes. Turn those on, and pick which door group(s) to grant access to upon checkout.

Note that customers will be automatically granted Brivo access during the day of their reservation (24 hours) to ensure they have time to access their booking on time.

By default, customers should receive a link in their email that will have them download Brivo and log in using the email address they used to book the space. Once logged in, they will have temporary access to the space during the time of their booking.

Temporary PIN Codes

If you use PIN codes in your space, you can also turn on temporary PIN code support for your Day Pass and External Bookings customers.

In the integrations panel, find the Brivo card and click the "settings" button.

Turn on the toggle to "Generate PIN for guest."

Now, for each Day Pass or External Booking, we will automatically issue temporary PIN codes to those customers. This means that any guest who purchases a Day Pass or External Booking will be given a random, unique PIN code that will only be valid during the day of their reservation. Afterward, that PIN will expire and no longer be usable.
