How to Use the Linked Rooms Feature

Create booking rules to link rooms in order to automatically block off associated rooms whenever one of them is booked. Built for divisible event spaces, partitioned conference rooms, and any setup where multiple bookable rooms share the same footprint

What is the Linked Rooms feature?

Many bookable spaces aren't really one room — they're several. A large event space might split into two medium rooms or four small rooms using movable partitions or flexible walls. No matter which configuration a member books, the underlying physical space needs to be blocked off everywhere else, or you'll end up double-booked.

Linked Rooms solves this by letting you connect a room to one or more other rooms in your space. When someone books a room that has linked rooms, Coworks automatically creates matching bookings — same date, same time — in every room it's linked to. Your calendar always reflects reality, no matter which version of the space gets booked first.

Example use cases:

  • A large event space that divides into 2 medium spaces or 4 small spaces — booking any one of them should block out all the others.

  • Partitioned or flexible-walled conference rooms that share the same physical footprint.

  • A set of cafe tables or seating areas that are really one larger bookable area.

How to link rooms

  1. Go to the Rooms tab.

  2. Click on the room you want to edit.

  3. Go to the Settings tab on the room detail page and click Edit.

  4. Scroll down to Booking Rules.

  5. Under Linked Rooms, use the dropdown to choose the room(s) you want to link. You can select multiple rooms.

  6. Click Save.

Once saved, any booking made in this room will automatically create matching bookings in each linked room, for the same date and time.

You can also link rooms during the room creation process.

Creating Bookings in Linked Rooms

When a manager books a room that has linked rooms, Coworks displays a notice showing which other rooms will also be reserved for that same time.

For members, booking a room that is linked to other rooms will result in those bookings being created automatically under the manager's account. Members will not be charged for hours or usage in the duplicate bookings across the linked rooms.

Handling conflicts

Because linked rooms share the same underlying physical space, availability is checked across all of them at once. If any linked room is already booked during the requested time, the new booking will show a conflict and won't be allowed to go through.

This prevents double-booking of the same physical space, even when it's represented as several separate bookable rooms in Coworks.

Deleting/Updating Linked Bookings

Linked bookings can not be individually deleted or edited. You must go to the original source booking and make changes there. Any changes to the source booking (deleting, editing etc.) will update the associated linked bookings. This way your calendar will automatically handle any changes and cascade those throughout the linked bookings to avoid conflicts.

Bi-directional vs. One-directional linking

By default, linking is bi-directional. If Room A is linked to Room B, booking Room A will also book Room B — and booking Room B on its own will automatically book Room A.

This setting can be changed to be one directional; Meaning in the above scenario, booking Room A would book Room B but not vice versa. This gives more control but may create added complexity. Please reach out to support to change this setting.
